Who attends our conference?
The HEDW Conference attendees are a representative sample of Higher Education Institutions varying in size, mission, and geographic location.  Attendees come from a full range of data warehouse / business intelligence (DW/BI) life cycles, ranging from newly instituted programs to highly polished systems with years of rich experience.  Typical conference attendees are at the center of their Institution’s DW/BI activity and share the common objective of learning more about DW/BI. These individuals seek opportunities to leverage limited resources in order to maximize value for their Institution. They appreciate the modest size of the conference, which helps preserve the ability to have quality interactions with the community.A breakdown of our most recent conference attendees is shown below. 420 attendees from 175 different institutions attended the 2019 conference hosted by The University of Michigan in Ann Arbor, Michigan.  HEDW conferences are intentionally kept small to maximize the peer-to-peer interaction as well as the sponsor to attendee ratio.

The Sponsor exhibit area will be located in heavily trafficked areas for maximum attendee exposure.  The sponsor count will be kept to about 18 organizations in order to keep the sponsor / attendee ratio optimal. Exhibit Area table location preference will be given by order of sponsorship registration.

Sponsor Area Hours

The sponsor table area is available for sponsor staffing during the following hours during the conference:

  • Monday, April 27, 2020: 7:30 am – 5 pm
  • Tuesday, April 28, 2020: 7:30 am – 5 pm
  • Wednesday, April 29, 2020: 7:30 am – 3 pm

However, due to scheduling of member events and sessions, we recommend that sponsor tables be staffed especially during these hours.  Attendees are told this is when sponsors are available in the exhibit area:

  • Monday, April 27, 2020: 7:30 am – 3:30 pm
  • Tuesday, April 28, 2020: 7:30 am – 3:30 pm
  • Wednesday, April 29, 2020: 7:30 am – 12:00 pm
Logistics

Sponsor registration deadline will be Friday, February 28, 2020, or when all the available slots have been filled. Due to the limited number of available spots, cancellations of Sponsorship will receive a credit for the following year’s conference.

Can sponsors attend all member events?

Sponsors are invited to everything except the Tuesday HEDW Member meeting that is open only to the membership. This meeting is held immediately after lunch

May I ship materials directly to the conference?
Yes, you can! However, shipments can arrive no more than 3 days prior to the conference (April 23, 2020).  The name of the representative responsible for collecting your materials being shipped must also be indicated clearly on the outside of the container.

When can we set‐up and when do we need to break down?
The sponsor area will be open to sponsors for setup on Sunday, April 26th beginning at 3:00pm – 7:00pm.  Tear down must be completed by Wednesday, April 29th at 7:00pm.
What is provided with the exhibit area tables?
Sponsors will receive a 8 ft. skirted table, two chairs, table top identification card, and access to power and internet. It is entirely up to the sponsor to ship pop‐ups, tablecloths, or any additional signage to the conference per the rules stated under material shipments.  It is also up to the sponsor to arrange for any additional A/V equipment needed at the event by contacting the Ogden Eccles Conference Center Event Manager, Eunice Contreras, at econtreras@oeccutah.com or (801) 689-8616.  Everything must be ordered ahead of time (and paid for) at least 72 business hours prior to the event.
When does the opening reception start?
The opening reception is scheduled to run from 6:30pm to 10:00pm on Sunday April 26, 2020 at the Ogden Ice Sheet, located on the West side of the parking lot, 4390 Harrison Boulevard, Ogden, Utah.
How is exhibit area table placement determined?
The sponsor exhibit area layout will largely be determined by the number of sponsors who register for the conference.  The goal is to place tables in areas of high member traffic for maximum exposure.  Table location preference will be given by order of sponsorship registration.  Once the final layout has been determined, we will contact sponsors to make their table location selection.
What is the cancellation policy?
Cancellations received prior to February 28, 2020 will receive a credit for the following year’s conference. Cancellations after February 28, 2020 will not be eligible for a credit.
